Employees who wish access to their personnel files must contact the Office of Human Resources at least 24 hours in advance requesting to review their files.

Adelphi University is committed to maintaining the integrity and security of confidential records and information created, received, maintained and/or stored by the University in the course of carrying out its educational and research missions.

Reason for Policy

The intent of this policy is to protect the rights of students and employees, and to ensure the privacy and accuracy of education and employment records.

Policy

Many employees work with sensitive and confidential information involving student or employee academic, psychological, personal, disciplinary records and/or salaries or records regarding the University’s finances or business planning. Upholding the confidentiality of this information is tantamount to retaining the trust of students and co-workers and the success of the University, and represents the respect Adelphi has for its students and employees.

Employees must maintain the confidentiality of information they come in contact with. Employees should not view any files or computer records or make copies unless required specifically by their jobs and should not discuss any confidential information unless required by their job. Violation of this policy will lead to disciplinary action, up to, and including, termination of employment.

Procedures

If a supervisor suspects that an employee has violated the confidential nature of the data they work with, the supervisor should contact the Office of Human Resources. A Human Resources representative along with the supervisor will then meet with the employee to discuss the concerns and take possible disciplinary action, up to, and including, termination of employment.
